Position Description
Title: Bookkeeper
Classification: Non-Exempt (Part-time)
Hours of Work: Part Time / To be determined
Accountable to: Pastor
Salary Range: $22.97 – $25.00 per hour

 

 

Essential Function:

 

This position performs the bookkeeping function for the following entities and main responsibilities include overseeing bank reconciliation, payables/receivables, general ledger, financial reporting, and budgeting:

 

 

Major Responsibilities include:

    • Budget preparations for the above entities
    • Approve invoices and reimbursement requests for payment
    • Determines timing of release of payments based on Cash Flow Projections
    • Monitors income and expenditures relative to budgets
    • Transfers monies between Parish and or School accounts per cash flow requirements
    • Special projects as assigned by the Pastor / Principal and/or ADSF finance department

 

Accounts Receivable  

    • Record all cash receipts/deposits into QBO
    • Ensure donor info is accurate for tax receipt purposes

 

Accounts Payable  

    • Review all bills and invoices, check for accuracy
    • Prepare checks and support for review and signature
    • Post cash disbursements to QBO
    • Bank reconciliation for all entities
    • Prepare payroll for ADP processing
    • Export payroll expenses to appropriate Cost Centers: Parish and/or School
    • Prepares and records deposits for all entities: Parish and/or School
    • Maintain account receivables
    • Oversees maintenance of Accounting System
    • Act as primary interface with vendors, auditors, and/or ADSF

 

Financial Statements

    • Prepare monthly, quarterly and annual statements of operations and submit to Pastor and/or Principal for review and approval.
    • Complete Annual Report by due date
    • Ensure compliance with ADSF Financial Policies and Procedures

Payroll

    • Calculate payroll for the month.
    • Ensure bank account has sufficient funds for payroll account based upon amounts needed.
    • Check the payroll report for accuracy.
    • Post payroll to QBO.
    • Prepare annual pension report for the Archdiocese.

 

Annual Budget

    • Prepare with Pastor and/or Principal the annual salary schedule based upon Parish Pay Guidelines provided by the Archdiocese and Salary Scale amounts provided by Department of Catholic Schools (DCS).

 

Other duties may include   

    • Special projects, as assigned
    • Attending finance council, school board, or ADSF / DCS meetings as needed

 

Experience Required:

 

Must have 2-4 years of experience as a bookkeeper with accounting skills in A/P, Bank reconciliation, journal entries, general ledger, financial reporting, demonstrating strong Excel knowledge and skill. Must also possess organizational and communication skills. The employee must pass a bookkeeping examination administered by the ADSF Finance Department and have QB and /or QBO experience. Previous experience in an educational and/or Catholic institution is preferred.

 

 

Education/Certifications:

 

A Bachelor’s Degree is preferred.

    • Exercise courtesy to fellow employees, parishioners and the general public


Salary: $22.97 – $25.00 per hour
